If you are organising an international event, the last thing your team needs is to learn the local rules, hotel access, parking, routes and transport all over again in every new city.

What we take on

Every guest movement, coordinated

We coordinate ground transportation for events end to end: airport transfers, delegate movements, multiple transport points and suppliers, and the full coordination of guest movements throughout the programme.

For you, that means one team responsible for how guests arrive, move between venues and leave again — and one point of contact when the plan changes. It can also be part of the full event operations we take on.

  • One point of contact for all transport suppliers
  • Schedules built around flights, venues and programme timings
  • Control on the ground while the programme runs

Scope

Four parts of one operation

From the arrival hall to the final departure, ground transportation is planned as one system — not as a list of separate bookings.

  • 01

    Airport transfers & delegate movements

Arrivals and departures matched to flight schedules, and delegates moved between hotels, venues and programme points.

    • VIP and individual transfers
    • Group transfers for arrival and departure waves
    • Shuttles between hotels, venues and programme points
  • 02

    Fleet, suppliers & multi-point logistics

The right vehicles and the right suppliers for each part of the programme, coordinated as one operation.

    • Selection and coordination of transport suppliers
    • Fleet matched to group sizes, routes and service level
    • Driver briefings before the programme starts
    • Quality control throughout

[PLACEHOLDER: own vehicles or partner fleet only? Vehicle types available]

  • 03

    Guest journey management

Guests always know where to be, when, and who is looking after them.

    • Routes and schedules for every movement
    • Hosts and escorts at transfer points and on board
    • Coordination of movements during the programme
  • 04

    On-site control

Someone is always in charge of transport while the programme runs — and ready when things change.

    • Transport dispatcher on duty
    • Backup options prepared in advance
    • Fast response to delays, schedule shifts and last-minute requests

The guest journey

From the first pickup to the last shuttle

Arrival

Pickups matched to flight times.

Arrivals are planned against the flight schedule, so every guest is met — whether they travel alone or land with a group.

  • VIP and individual transfers
  • Group transfers for arrival waves
  • Hosts at transfer points

Hotel

Transfers timed to check-in and the programme.

From the airport to the hotel and on to the first programme point — guests know where to be, when, and who is looking after them.

  • Routes and schedules for every movement
  • Hosts and escorts on board

Venues

Shuttles to sessions, dinners and side events.

The right vehicles and the right suppliers for each part of the programme, coordinated as one operation.

  • Shuttles between hotels, venues and programme points
  • Fleet matched to group sizes, routes and service level
  • Driver briefings before the programme starts

Between points

Multi-point routes, schedules and hosts.

Someone is always in charge of transport while the programme runs — and ready when things change.

  • Transport dispatcher on duty
  • Backup options prepared in advance
  • Fast response to delays, schedule shifts and last-minute requests

Departure

Departure waves back to the airport.

The last shuttle is planned with the same care as the first pickup: departures grouped by flight, with control on the ground until the last guest has left.

  • Group transfers for departure waves
  • Quality control throughout

Questions

Ground transportation, answered

Where do you coordinate ground transportation?

Our base is Serbia. We work across Europe, including Türkiye, and through a partner network in selected US markets.

Can you work under our agency’s brand?

Yes. For agencies we can deliver white-label, under your brand, with one point of contact for your team and NDA and confidentiality respected.

Can you combine transportation with the rest of the event?

Yes. Ground transportation can be part of the full event operations we take on: project management, supplier and venue coordination, travel logistics and on-site delivery.

How much does it cost?

We do not publish prices: every programme is different, so we prepare each proposal for its specific scope. Send us the details and we will come back with a proposal.
